    6 MONTH CONTRACT POSITION

    PURPOSE OF POSITION:
    Provide administrative support to President & CEO.

    Duties & Responsibilities
    • Provide administrative support to an EVP, CEO or President. Requires in-depth knowledge of company operations, policies, and procedures.
    • Handle details of a highly confidential and critical nature.
    • Collect and prepare information for use in discussions/meetings of executive staff and outside individuals.
    • Prepare presentation materials for Board of Director meetings.
    • Initiate contact with executives inside and outside the company dealing with issues of a sensitive nature.
    • Work on problems of a diverse scope where analysis of data requires evaluation of identifiable factors
    • Exercise judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions.
    • Must possess tact working with senior level executives within and outside the company, as well as with customers, vendors, visitors, and other dignitaries
    • Manage calendar; Maintains appointment schedule(s) by planning and scheduling meetings, conferences, teleconferences, and coordinate travel arrangements
    • Arrange for meetings and follow-up with attendees; set up meeting rooms, arrange for the necessary equipment and supplies, arrange guest accommodations, etc. as necessary
    • As an extension of the President’s office, work in liaison with other employees to coordinate schedules
    • Administer e-processes for expenses etc. as required;
    • Prepare, consolidate, and distribute reports as needed; Filing and various other miscellaneous office duties
    • Routing correspondence, drafting letters and documents, collecting and analyzing information, initiating telecommunications.
    • Maintains customer confidence and protects operations by keeping information confidential.
    • Completes projects; following up on results;
    • Prepares reports by collecting and analyzing information

    REQUIRED KNOWLEDGE, EDUCATION AND/OR EXPERIENCE:
    • Bachelor’s degree or equivalent work experience
    • 5+ years of experience in an office administrative position; sales and/or marketing experience a plus, but not required
    • Professionalism and judgment in dealing with people; confidentiality required
    • Ability to prioritize and to communicate well across all levels of management
    • Time management and administrative skills to multi-task in a fast-paced environment
    • Consistency and attention to detail in preparing reports
    • Administrative skills required, including writing skills, reporting skills, must be proficient in Microsoft Office suite (MS Word/MS Outlook/Excel/SAP) with an emphasis on PowerPoint, travel logistics, time management
    • Strong administrative support skills and interpersonal communication with internal and external organizations is a must
    • Possess the ability to seize opportunities early, multitask several diversified projects, take initiative and communicate with people at different organizational levels
