Now Editing “Facility Administrator” Name * Password * Email Topic Title (Maximum Length 80) Company * Location Expires at PEAK is looking for a Facility Administrator (Korean bilingual) who will be responsible for performing a variety of administrative and clerical tasks. This invaluable role will provide support to multiple managers and facility teams in, but not limited to, assisting in daily office activities including preparing reports, organizing meetings, maintaining project documentation, and managing general administrative activities to ensure the efficient and smooth day- to-day operation of the office. You will be responsible for the maintenance and repairs of all facilities buildings, acting as the contact for emergency situations. Additionally, you will assess and consider daily 1) the safety of our employees, 2) the security of our assets and 3) the service to our members. You will also coordinate outside contractors or vendors for various services. Role and Responsibilities: + Work closely with the Facility manager to create a team environment producing high-performance results. + Interact with multiple levels of employees, vendors, and partners while professionally representing the Facility team and organization. + Ensure ongoing project emails are followed up on in a timely manner under the supervision of the Facility manager, especially when team members are not available. + Provide support to the teammates with the necessary tools, training, information, and procedures to effectively perform their jobs. + Organize and maintain files and databases in a confidential manner + Assist in presentation preparation such as PPT, Excel, Word, etc. + Coordinate internal and external meetings and take detailed minutes. + Maintain calendars, schedule appointments, meetings, and reservations + Actively re-prioritize multiple tasks and projects to execute/submit approval each one in a timely manner + Maintain and order office supplies and Facility related maintenance materials + Support Facility team with duties such as contract management, event planning, and catering + Manage all correspondence and the document flow between Clients, Architects, and Subcontractors to achieve the successful and timely completion of all projects. Maintain detailed and organized files; document and database management. Maintain subcontractor files for each contract that will include original contract, all correspondence, changes, amendments and payment schedules. + Cafeteria management, Janitor management and facility maintenance + Will assist the primary contact for all regional personnel for any building issues (climate control, odors, smoke, spills, damage, emergencies and repairs) + May assist the project coordinator for all size projects including large scale repair and new facility projects + Escort service contractors to necessary locations for equipment service. + Coordinates and assists with departmental and employee moves + Transport goods or equipment as assigned + Performs immediate cleaning duties necessary to maintain clean facility + Perform all other duties as assigned that may include work in assistance of others. + Maintains record of materials and labor expended on each assignment. + Offers assistance to or guide other technicians assisting in assignments. + Communication, as directed, with key administrative and staff personnel on special events and functions scheduled for the buildings that may require special furnishing arrangements and other duties that may be required. + Assist as required and cooperate with all personnel in the performance of day-to-day duties and responsibilities. + Some travel to San Francisco and Palo Alto work-sites may be required. + Some overtime may be required. + Coordinate construction projects with the Construction team and contractors, including document control. This position works closely with all members of the project team and other internal teams. Ensuring planned deadlines are met. + Assist with construction activities with Building Management team members (shut downs, signage, site impacts, etc.), manage community outreach and issue updates to user community groups as required, manage the development and completion of punch lists, manage the technical close out of projects, manage the occupants. + Participate in request for proposals, planning preparation and administration of contracts. Responsible for maintaining job site binders/logs, insurance compliance documents, and RFI's. + Assist with event coordination as needed. + Other duties upon request. Required Experience and Education : + 1-2 years of experience. + Bachelor's degree preferred. + Experience in Field Office Coordinator or Accounting role.
