Position Overview
The General Affairs Specialist will be responsible for providing administrative support and managing day-to-day operations related to general affairs at the Company. The main role of the General Affairs Specialist is to manage the office work environment, office products, IT, and facilities maintenance.
Responsibilities
– Submits requests for General Affairs related expenses and monitors spending through use of SAP and Groupware systems.
– Purchases routine and non-routine office supplies such as stationery, breakroom supplies, coffee supplies and janitorial supplies; and make sure the stock is sufficient
– Manage day-to-day operations related to general affairs at the facility and general administrative duties as assigned.
– Vendor management to include building vendor relationships, requesting and reviewing quotes, negotiating contracts, reviewing vendor performances, submitting vendor approvals to Management.
– Assisting visitors such as from another company or HQ with hotel reservations, car rentals, beverages or snacks, and any other specialty requested needed for their visit.
– Administrative support such as creating guest announcements and posting, purchasing any refreshments needed for meetings, scheduling meetings, preparing reports and managing timely correspondence.
– Manage and maintain all office assets and vehicle inventory including registration, renewals, maintenance and servicing, negotiating new contracts and tags.
– Managing the Company’s dormitory including renewal of lease, if needed locating and arranging a new dormitory (if needed), supplies needed, online maintenance requests, submitting all monthly bills to accounting, assigning keys to occupants, reviewing rules and regulations for staying at the dormitory and enforcing allotted timeframe for guests to stay at dormitory.
– Assist with Contractor vendor registration, communicating to Korean contractors in regard to the Company’s Safety policy and maintaining required documentation; for example, COI & W-9.
– Maintain and manage the facility utilities including power, water, and cell phone.
– Assist the Company’s Expat employees with obtaining social security card, checking account, leases and driver’s license, if needed.
– Any other duties assigned by direct Manager.Requirements
– Bachelor’s degree in HR, Business, accounting or related fields
– Minimum of 0-2 years in a manufacturing environment and background in accounts payable/receivable and or general affairs.
– Proven interpersonal, communication and time management skills.
– Experience with Microsoft software including excel, word, and power point.
– Bilingual in Korean and English is required.Benefits
