Responsibilities:
– Managing a complex calendar of professional meetings, personal appointments and travel for several individuals
– Handling incoming correspondence, including emails, memos, faxes and mail, sometimes requiring a high level of discretion
– Tracking office inventory, including ordering supplies, coordinating deliveries and managing vendor contracts
– Process invoices and follow up with clients, suppliers and partners as needed
– Manage tracking system for office expenses & vendors (maintain digital and physical financial records)
– Closely collaborate with external accountant for handling various correspondences on accounting / payroll / tax issues
– Support & develop office policies and procedures and ensure they are implemented appropriately
– Support IT infrastructure utilizing external IT service provider
– Ensure that the office is operating smoothly (general facilities maintenance)Required Qualifications
– At least 2 years of experience in the field or in a related area
– High school diploma or equivalent; college degree preferredDesired Qualifications
– Ability to prioritize work, meet deadlines, achieve goals, and work under pressure in a dynamic and complex environment
– Strong verbal, written, and interpersonal communication skills
– Intermediate Microsoft Office (Word, Excel, Outlook, and PowerPoint) skills
– Solid critical thinking skills
– Experience supporting multiple managers with calendar management, travel arrangements, scheduling of meetings and events
